Collaboration Tools - Which Collaboration Tools for What?

"Collaboration is the work of two or more individuals on shared material that has been deliberately planned to achieve a common group goal. Achieving this group goal requires communication, coordination, and cooperation among the actors involved."

In this exercise, the participants are to deal with the topic of collaboration tools and find suitable collaboration tools for a wide variety of work areas as well as the work tasks that arise in companies. In this context, the aspect of how to deal with data, data protection, data security will also be discussed.

Preparation

To prepare, all you need is a PC, smartphone and an Internet connection to look up information from the Internet.

Lecture on "Collaboration Tools". The presentation should explain the following keywords:

  • Definition: Collaboration Tools
  • Who benefits from collaboration tools? 
  • Where can collaboration tools be used?
  • Data security and data protection when using collaboration tools.

The exercise sheets serve as additional support and stimulation.

Method / Process description

The participants are given the task of familiarizing themselves with the topic of collaboration tools.

To introduce the topic, a short input about collaboration tools will be given. The term collaboration tools is introduced, who collaboration tools are intended for, where they can be used, and what roles data security and data protection play in the use of collaboration tools.

After a short introduction by the teacher, the teacher gives the participants their first assignments.

The participants are asked to research collaboration tools on the Internet, which essentially facilitate and improve the work for given companies, projects, etc. The following tasks are given to the participants

1. Which tools could facilitate and improve work under these conditions?

An international project team from various universities in England, Italy, Belgium and Bulgaria are working together on a new teaching concept on the topic of "work-life balance" as part of vocational training at vocational schools. Which collaboration tools could be beneficial for this working group?

Three cool teenagers team up with the goal of becoming influencers. They want to use social media and also be present on YouTube. Everything revolves around fashion and lifestyle.

What collaboration tools could the young people use?

A corporate group has subsidiaries in the USA, Asia and its headquarters in Europe. Communication and knowledge transfer do not always work well - also due to cultural differences of all parties involved. Sometimes projects are delayed and the group often loses follow-up orders as a result. 

Which collaboration tools could be used in this group?

Within a company, there are many departments that work together in a project for the creation as well as the initial presentation of a software. The departments are the graphics department, It department, project owners (project management and team), etc. Although they all belong to the same location, some work in the home office, some in the company (but often at different times).

What collaboration tools might be beneficial to this project group?

2. To what extent must data security and data protection be ensured when dealing with collaboration tools? What promises do providers of various collaboration tools make in this regard?

Afterwards, the participants should compare and discuss their results of the first work assignment with the other participants. The teacher does not moderate this sequence and only intervenes to correct. The participants should first draw their own conclusions from their observations from comparing the results with the other participants. 

Afterwards, the participants should discuss and reflect on the results of the second task in plenary.
